RollCall (“we”, “us”, “our”) is a smart school attendance and reporting platform designed for schools in Southern Africa. We care deeply about the privacy of learners, parents/guardians, teachers, and administrators. This Privacy Policy explains what personal information we collect, how we use it, and the rights available to you.

2. What we collect
- Account & identity data: names, role (learner/teacher/guardian/admin), class/grade, school, contact details (e.g., mobile number, email), user IDs.
 - Attendance & academic data: attendance records, lateness, homework submissions/status, class schedules.
 - Device & usage data: IP address, device/browser type, log data, interactions with the platform.
 - Communications: SMS, email, and (where enabled) WhatsApp notifications sent/received through the platform.
 - Support data: tickets, feedback, and troubleshooting information you provide.
 
Children’s data: We process learner data under the direction of the school, which acts as the primary institution responsible for obtaining any required consents from parents/guardians under applicable law.
3. How we use your information
- Provide, operate, and secure the RollCall platform.
 - Send attendance/homework alerts and school communications (SMS/email/WhatsApp).
 - Generate dashboards and reports for authorized users.
 - Respond to support requests and improve our services.
 - Meet legal, regulatory, and audit requirements.
 
4. Legal basis
- Contractual necessity: to provide the service to your school.
 - Legitimate interests: to operate, secure, and improve the platform.
 - Consent: for certain communications or optional features where required.
 - Legal obligation: to comply with applicable laws and regulations.
 
5. Sharing & processors
We may share data with trusted service providers (e.g., hosting, SMS/email gateways, analytics) who process it on our behalf under contracts that require confidentiality and adequate security. We do not sell personal information.
6. International transfers
Data may be processed in or transferred to countries outside your own. Where we do so, we use appropriate safeguards (e.g., contractual clauses) and ensure equivalent protection is maintained.
7. Retention
We retain personal information only for as long as necessary to provide the service and meet legal obligations. Schools may request exports or deletion at any time, subject to legal or legitimate archival requirements.

We implement technical and organizational measures appropriate to the risk, including encryption in transit, access controls, audit logging, environment segregation, and regular backups. No system is 100% secure; we continuously improve our safeguards.
9. Your rights
Subject to local law (e.g., POPIA), you may have the right to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. To exercise these rights, contact your school administrator or info@rollcall.africa. We will cooperate with schools to honor requests.
10. Cookies & analytics
We use essential cookies for security and functionality. With your school’s configuration, we may use limited analytics to improve performance and reliability. You can manage cookies through your browser settings; disabling some cookies may affect functionality.
11. Communications
RollCall sends school-related communications (e.g., attendance alerts) via SMS/email/WhatsApp where configured. Message/ data rates may apply. Where consent is required, the school is responsible for obtaining it.
12. Changes to this policy
We may update this policy to reflect changes to our practices or applicable laws. We will indicate the “Last updated” date above and, where appropriate, notify schools or post an in‑app notice.
